Executive Assistant

Reporting to the Chief Development Officer, the Executive Assistant will provide key administrative support to help the fundraising department achieve its annual revenue goals. The Executive Assistant will serve as a key member of the individual giving team and will also provide administrative support to the Director of Development. The Executive Assistant will be a self-starter who prioritizes competing demands, hosts and coordinates meetings, schedules travel arrangements, drafts correspondence and briefings, processes expenses, and maintains donor records in Tessitura. The Executive Assistant will be expected to attend performances and special events to greet guests and will interact with staff at every level across departments.

ESSENTIAL DUTIES AND RESPONSIBILITIES

  • Assists CDO in preparing PowerPoint presentations and supporting documentation for Board of Trustees meetings, Campaign Committee, Development Committee, and Nominating and Governance Committee meetings
  • Writes, proofreads, edits, and sends correspondence on behalf of the CDO, including: gift agreements, major gift proposals, stewardship reports, and other correspondence
  • Assists CDO in planning development team meetings, including date selection and agenda distribution, and in creating a team culture that aligns with MCB brand values
  • Participates in individual giving team meetings and serves as a liaison between the individual giving team and the CDO
  • Provides administrative support to the Director of Development on mass mailings, including overseeing printing, merging, stuffing, and mailing of letters, cards, and other donor communications
  • Creates in-depth research profiles on donors and prospects as needed by the CDO and Board of Trustees
  • Manages the calendar of the CDO, including scheduling meetings and travel as needed
  • Drafts emails on behalf of the CDO and manages the ghost email account
  • Tracks and maintains the department budget and oversees reconciliation with the Finance Department
  • Processes check requests, oversees credit card expenses, and reimbursement requests on behalf of the CDO
  • Monitors news articles and google alerts for information on major donors and updates research profiles and donor records accordingly
  • Tracks and maintains the portfolio of the CDO and members of the Board of Trustees in Tessitura, including all contact reports
  • Provides superior customer service to donors who are visiting MCB studios by confirming attendance, providing parking details, sharing guest protocols, and greeting them upon arrival
  • Opens and distributes department mail and scans contributions for the Associate Director of Development Services to process
  • Attends most donor events and performances to greet guests, staff special events, manage seat notes, and offer bespoke donor experiences

QUALIFICATIONS  

  • Minimum of two years of administrative experience, preferably in a fast-paced and deadline driven environment
  • Proficiency in Microsoft Office Suite, especially Word, Excel, and PowerPoint, and fluency in mail merges
  • Ability to write clearly, succinctly, and in an appealing way to targeted audiences
  • Ability to prioritize work, juggle multiple projects, maintain organized files, and manage time effectively
  • Exceptional attention to detail is required, especially when communicating with Trustees, major donors, and members of the senior leadership team
  • Ethos of collaboration and ability to work alongside all members of the development team
  • Capable of maintaining sensitive, confidential information with discretion
  • Proficiency in Tessitura or other non-profit CRM highly desirable
  • Must be willing to work evening and weekend hours when required

Shoe Inventory Assistant

  • Maintain inventory of all Ballet shoes as they are purchased and distributed to the Company Dancers
  • Submit a monthly report of the cost of shoes given out to Finance department
  • Unpack, price and shelve all deliveries of shoes as they arrive
  • Schedule and distribute the monthly allotment of shoes according to agreement with Dancers. Currently 2.5/week for women and 1.5 for men
  • Assist Company dancers with any issues they may have- be it sizing, brand or style - to assure correct fit
  • Special order shoes and boots for particular ballets
  • Manage the schedule for ordering Pointe shoes, coordinating manufacturer’s production time and fluctuating delivery schedule with our production needs 
  • Assist MCBS students with sizing, style and fit to purchase our overstock shoes
  • Maintain a clear, detailed inventory of all overstock shoes available for sale and their pricing with appropriate discounts 
  • Reconcile purchasing of shoe stock with Finance department
  • Update and post a monthly list of the female company member’s shoe inventory including all future delivery dates and the next order date

DESCRIPTION
Reporting to the Director of Finance, the Staff Accountant provides accounting and clerical support to the Miami City Ballet finance department. This includes bank reconciliations, posting daily sales into the accounting system and completing any other tasks necessary for well-functioning of company’s accounting process.

ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Monthly reconciliation of bank statements.
  • Daily postings of Box Office batches into the accounting system.

  • Prepares weekly Box Office Sales analysis for Financed and Marketing.

  • Daily Cash Flow, Outstanding checks reconciliation.

QUALIFICATIONS:

ABOUT COMMUNITY ENGAGEMENT
Miami City Ballet Community Engagement effectively eliminates barriers to arts education and access through thoughtful creative learning opportunities for those at every level of arts exploration, reaching thousands of young people and families every year.

MINIMUM QUALIFICATIONS
Two-year minimum experience in the field of youth and arts education. Individuals must be highly organized and productive, tech savvy, self-motivated, and have experience coordinating programs. Essential Duties and Responsibilities:

  • Coordinate, collaborate, and support program needs across team areas in Community Engagement.
  • Work with various teams within Community Engagement to ensure seamless coordination of program requirements.

  • Coordinate and provide support for all special projects and community initiatives.

JOB SUMMARY
The Audience Services Representative (ASR) is the first point of customer contact and is responsible for providing the customer with the best impression of the Miami City Ballet. Remote work is available throughout the year when no onsite or in-venue service activations occur.

Key responsibilities include delivering excellent customer care for all customers and prospects of MCB:

  • Managing inquiries and communications with customers across several communication channels.
  • Acknowledge and resolve customer concerns and complaints.
  • Knowledgeable about the MCB as an organization, familiarity with the company of dancers, our season, and events/performances inside and out to answer questions
  • Communicate and coordinate with colleagues as necessary
  • Provide ongoing feedback on the efficiency of the customer service process
  • Keep records of customer interactions, transactions, comments and complaints.
  • Process orders, forms, modifications and escalations
  • Fulfill and generate ticket sales, subscriptions and payments

To do well in this role, the ASR must be customer-centric and service-oriented with a positive, empathetic and professional attitude toward customers at all times.

RESPONSIBILITIES

Relationship management

Take and fill ticket orders for individual ticket purchases over the telephone and at the box office window.

  • Respond promptly and thoroughly to customer inquiries; Resolve customer complaints efficiently and strive to deliver customer satisfaction
  • Build rapport, on-going relationships, and credibility with customers by delivering consistent and excellent customer care, anticipating their needs (and objectives of the customer) and initiate any service recovery.
  • Understand and provide information: seating, prices, fees, and sections of multiple venues, as well as parking options and directions and related information to help provide optimal customer experience.
  • Provide customers insight and updates on the season, programs, and various subscription package and product options, in order to increase sales, engagement and/or customer service.
  • Explain provide upgrade options and fill orders for interested patrons.
  • Assist patrons/subscribers with ticket exchanges.
  • Provide assistance and support for ticketing matters for internal department needs.

Data Management

  • Process all transactions through Tessitura.
  • Create and maintain accurate customer data in Tessitura.
  • Provide daily payment settlements to management; ensure final report balances credit cards, cash, and check transactions.
  • Filling in CSI’s to capture customer feedback after shows, etc.

Other:

  • Prepare tickets for mailing or will call as needed.
  • Correspond with customers via email, phone or any other written documentation is imperative.
  • Contribute and assist in various CR-related administrative tasks and duties to support smooth-running CR operations.
  • Work collaboratively with organizational colleagues across the organization.
  • Share frontline customer feedback with Marketing and Development team as appropriate.

On-site service:

  • Provide customer/subscriber and relationship management support on performance weekends and locations.
  • Provide clerk duties at the MCB Store, both on-location and at various performance venues.

SKILLS AND QUALIFICATIONS

  • Experience working with customer support.
  • Comfortable using computers and databases.
  • Knowledgeable in Excel, Microsoft Word, Tessitura knowledge ideal, training provided for Tessitura.
  • Ability to use database software; maintain accurate electronic records—tessitura knowledge ideal.
  • Interest and desire to have strong Product/Service knowledge – From common issues to upgrades, CRR has and pursues knowledge about the organization, season programs, dancers, and other info relevant to offer customers.

Teaching Artists for Commmunity Engagement

JOB DESCRIPTION:

Reporting to the Miami City Ballet’s Director of Community Engagement and the Dance Education Programs Manager, Teaching Artists are practicing artists in Dance, Arts Education, and Performing Arts committed to working with young people of varied abilities. Miami City Ballet’s Community Engagement programs, including STEAM+, Explore Dance, M.C.B.’s Masterclass Series, and Miami City Ballet’s Palm Beach Summer Dance Camp, bring high-quality arts enrichment to the youth of South Florida by working through established after-school and year-round programs at Miami-Dade County Title I Public Schools, Partnering Community Organizations, K-12 Performing Arts Schools as well as Performing Arts magnet schools.

Applicants must demonstrate expertise working as professional dance teaching artists, the ability to set choreography for students of varied abilities, basic curriculum standards to teach Ballet Fundamentals, Creative Movement practices, the ability to produce Culminating Event performances, experience in lesson planning and arts integration curriculum writing, strong communication, and interpersonal skills, facilitating group decision-making, handling multiple tasks simultaneously, and strong attention to detail.

SCHEDULE & COMPENSATION:

This is an independent contractor position. Applicants must have availability to work during and after school hours, on occasional weekends, and during the day in the summers. Teaching Artists should have the ability to travel throughout the South Florida tri-county region to various residency sites. A full residency ranges between 5-25 weeks (according to each program) and ends in a culminating performance. Teaching Artists earn $50/hour to instruct and $25/hour for lesson planning, and mileage reimbursement for instruction provided outside of Miami-Dade County.

DUTIES & RESPONSIBILTIES:

Direct instruction with students in Kinder-12th Grade using guidelines of the Florida Arts Standards, MDCPS STEAM+ Rubric, and Miami City Ballet Fundamentals Curriculum. Planning and executing arts programming appropriate for specific age groups, attending professional development workshops and meetings, and carrying out administrative responsibilities (such as submitting written lesson plans, student pre-and post-assessments, timecards, student evaluations, and other duties as assigned). TAs selected for employment must also attend a 3-day training session held at Miami City Ballet from September 28th – 30th, 2022.

REQUIRED QUALIFICATIONS:

Minimum (4) years of teaching experience and substantial training in Dance Education. Strong content knowledge in classical ballet, performance, and stage work. Commitment to serving children in typically under-represented communities. Must be culturally competent to work with a diverse student body and students with special needs. Must be adaptable to instruction in non-traditional dance spaces. Excellent verbal and written commutation skills. Excellent interpersonal communication skills with adults and children. Instructors with proficiency in Spanish are encouraged to apply. Instructors with varied dance genre teaching experience with a strong ballet foundation are welcome to apply.
